Everything You Need to Know


Case Western Reserve University currently has two PeopleSoft Systems - HCM and Financials.

The HCM System allows an employee to view their payroll information, current benefits, update online directory information, record vacation and sick time as well as make changes to their benefits during the Open Enrollment period in November.

The Financials System is used for creating and inquiring on financial journals, payment requests and requisitions.

Reports are available through both systems. The HCM System provides salary reports while the Financials System offers non-salary reports such as income-expense statements.

There are three separate logins for each system (HCM, Financials, and Reporting). Your User ID and password will always be your Case ID and the password associate with it.

How do I gain access?

For the HCM System, you will have access as soon as your new hire paperwork has been entered in Human Resources and an overnight process is run. This typically takes about 5 business days. If it has been longer, please contact Records at 368-3096 or via e-mail hrrecords@case.edu

For the Financials System, you will need to complete two steps. The first is filling out a security form with your management center with both parties signature at the bottom. The second step is to take the necessary training courses. If you have any questions about your security access please contact erpsecurity@case.edu

For the Reporting System you will need to complete Section A and/or B on the security form. Please note: If you already have access to Financials, you may update your security by checking "Change" in the upper right hand corner of the security form.

 

I have access to the HCM System, but don't know where to go.

Who should I contact if I have questions about the information within the HCM System?

Questions about your Benefits Information including health, dental, vision, flex health spending, accruing vacation and sick time or 403(b) can be directed to the Benefits Department at 368-6781 or benefits@case.edu.

Questions about your Payroll Information including pay period information, cut off dates, W2 information can be directed to the Payroll Department at 368-4290 or payroll@case.edu.

Questions about your Personal Information including marital status and/or ethnic group as well as changes to W4 information or your business phone number can be directed to the Records Department at 368-3096 or hrrecords@case.edu

Questions about Grant Related Salary Distribution or Salary Adjustments can be directed to Robin Trail at 368-4516 or robin.trail@case.edu.

Questions about Non-Grant Related Salary Distribution or Salary Adjustments can be directed to Michele Dodgson at 368-4291 or michele.dodgson@case.edu.

Questions about Student Employment can be diredted to the Student Employment Office at 368-4533.

Questions about Payment Requests (additional pay) can be directed to the Compensation Office at 368-3094.

Questions about eProcurement Information, including requisitions, can be directed to the Purchasing Department at 368-2560 or erppo@case.edu.

Questions about Accounts Payable Information, including payment requests, can be directed the Accounts Payable Department at 368-2560 or erpap@case.edu.

Questions about General Ledger Information, including creating a financial journal, can be directed to General Accounting at 368-4274 or erpgl@case.edu.
