Mileage Allowance  
   

Case policy is to  mirror the Internal Revenue Service mileage allowance presently in effect. The allowance covers all automobile related costs including gasoline, insurance, and maintenance. Toll charges and parking fees, when supported by receipts, are reimbursable in addition to the mileage allowance. Quick guide:
For travel after July 1, 2008

Beginning July. 1, 2008, the IRS standard mileage rates for the use of a car (including vans, pickups or panel trucks) will be:

58.5 cents per mile for business miles driven

The new rate for business miles compares to a rate of 50.5 cents per mile for the first half of 2008. The university policy is to reimburse at the IRS rate.

 

   
Meal Allowance  
   
The actual cost of meals, including taxes and tips, while on business is reimbursable. Receipts are required if the total cost of a meal exceeds- the University meal allowance. CASE has reviewed the ten most traveled cities and has chosen a standard meal allowance for all travel when receipts are not available. This breaks down to:

Online Hotel Reservation Program

The Travel Office is pleased to announce the new Case Western Reserve University Hotel Reservation Program. Offered through our new partner, Hotels.com, this new program makes booking hotel rooms quick and easy and is available to all employees using a personal credit card or T&E card.

  2. Click on the Sign Up button
  3. You need to enter only your Case email address, phone number and EMPLID.  Then, create a password and you’re all set.  It really takes just minutes 
If you are a Travel Arranger
  1. Check the box at the bottom of the Sign Up page
  2. Then click the button My CWRU Hotel Home Page
  3. Then click the button Modify My Profile and create your list of Travelers.  Remember, you will only be able to add Travelers to your list once they have already signed up for the program.

Frequent Flyer Programs

Participation in the various airlines' corporate rewards programs allows the university to earn rewards which can be used to contain costs. In addition, the traveler will continue to earn the individual benefits associated with these programs

 

Continental Airlines' RewardOne Program

Case Western Reserve University is now participating in Continental Airlines' RewardOne program for small, medium, or large companies! As a RewardOne member, both the traveler and the university can earn travel rewards when flying Continental. You earn frequent flyer miles toward your own travel rewards through Continental's award-winning OnePass frequent flyer program and Case will also accumulate points. The corporate points will be used to reduce the university's overall air travel spend.
